CWR Assist (“we,” “our,” or “us”) provides a recruiting and team management platform for student-athletes, their families, and coaches (the “App”). This Privacy Policy explains how we collect, use, store, and share information when you use CWR Assist.

By using CWR Assist, you agree to the terms of this Privacy Policy.

Age Requirements

CWR Assist is intended for users age 13 and older. We do not knowingly collect personal information from children under 13. If we learn that we have collected information from a child under 13, we will delete it promptly.

Because many of our athlete users are minors between the ages of 13 and 17, we encourage parents and guardians to review this policy with their student-athlete and to be involved in the recruiting process managed through the App. Where required by law, we obtain appropriate parental or guardian consent before processing a minor’s personal information.

Information We Collect

Information You Provide

Account Information: Name, username, password, email address, and role (athlete or coach).

Athlete Profile Data: Academic and athletic information relevant to recruiting, such as graduation year, position, height/weight, performance stats, highlight videos, and recruiting goals.

Team and Roster Data (Coaches): Roster information, team stats, and team management data entered by coaches.

Communications: Messages sent through in-App features, including requests made through “Ask My Coach.”

Voice Input: If you use the voice-controlled stat-tracking tool, we process voice commands (jersey number and stat type) to log game statistics. Voice input is used only to perform this function.

Information Collected Automatically

Usage Data: Information about how you interact with the App, such as features used and session activity, to help us maintain and improve the App.

Device Information: Basic technical information such as device type and operating system, used for compatibility and troubleshooting.

How We Use Your Information

We use the information collected to:

• Provide and operate the App’s core features, including recruiting profiles, team management, and stat tracking
• Enable communication between athletes and coaches within the App
• Present athlete recruiting profiles and stats to college coaches and recruiters as part of the App’s core recruiting function
• Maintain and improve App performance and reliability
• Comply with legal obligations

Sharing of Information

We share athlete recruiting data — such as profile information, stats, and highlight content — with college coaches and recruiters, as this sharing is core to the App’s recruiting purpose. Athletes and families control what information is included in a recruiting profile.

We do not sell athlete or coach data, and we do not share it with advertisers, data brokers, or other third parties outside of the college coaches and recruiters described above.

We may disclose information if required by law, legal process, or to protect the rights, property, or safety of CWR Assist, our users, or others.

Data Storage and Security

Your data is stored on servers hosted through GoDaddy, with safeguards designed to protect against unauthorized access, alteration, disclosure, or destruction. While we take reasonable steps to protect your information, no method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.

Data Retention

We retain account and profile data for as long as your account remains active or as needed to support the recruiting process. If you delete your account, we will delete or anonymize your data within a reasonable period, except where retention is required by law.

Your Rights and Choices

Depending on your location, you (or a parent/guardian on behalf of a minor) may have the right to:

• Access the personal data we hold
• Request correction or deletion of data
• Request a copy of your data
• Control what information appears in a recruiting profile shared with coaches/recruiters
• Withdraw consent where processing is based on consent

Coaches’ Responsibilities

Coaches who use CWR Assist to manage rosters and team data are responsible for ensuring they have appropriate authorization to enter athlete information into the App, particularly for minor athletes.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. We will notify users of material changes by updating the “Last Updated” date above.
